Short-Term Mobility and BIPs

Students who are unable to participate in long-term physical mobility activities for study or traineeship purposes—such as due to the specifics of their field of study or because they have fewer opportunities to participate—may combine a shorter physical mobility period with a virtual component (blended short-term mobility).

Blended short-term mobility refers to a student’s physical mobility lasting from 5 to 30 days, combined with a mandatory virtual component, aimed at studies or participation in a BIP. At least 3 ECTS credits must be awarded for blended short-term mobility activities undertaken for study purposes.

A Blended Intensive Programme (BIP) is a short-term learning programme that includes a virtual study component, allowing participants to collaborate in an online environment, as well as a short period of physical mobility abroad. A BIP must be implemented by at least three higher education institutions located in at least three different foreign countries.

A call for applications to participate in BIP mobility is publicly announced by the respective Faculty, indicating the specific selection conditions for the BIP and the requirements for candidates.

The selection of university students to participate in a BIP is carried out by the Selection Committee of the respective Faculty.

The requirements for participants, the calculation of the competitive score, submission of documents, implementation of the selection process, completion of documents for selected participants before their departure to the Host Institution, participant reporting after the BIP, and academic recognition are carried out in accordance with the MRU Procedure for Outgoing Student Mobility for Study Purposes.

How to Apply for the Selection Process

To participate in the short-term study mobility selection under the Erasmus+ programme, you must familiarize yourself with the specific selection conditions and candidate requirements announced by your Faculties for the blended short-term mobility programme.

Log in to your e-study book and fill out the “Application for Short-Term Study Mobility (BIP)” according to this instruction.

For Selected Students

After the announcement of the short-term study mobility selection results, confirmations containing student data are sent to the foreign higher education institutions/partners.

Application Documents for the Foreign University:

Once the foreign university receives your information, they will contact you or your academic faculty coordinator regarding:

  • An invitation to register in their university system;
  • A request to complete a specific application form.

The foreign university may also send additional important information, such as:

  • Required supporting documents,
  • Submission deadlines,
  • Accommodation details.

They may also request additional documents. If a Transcript of Records from MRU is required (from the home/sending institution), it will be issued in English by your faculty’s student managers.

Each foreign university sets its own application and registration deadlines for the blended short-term mobility or BIP.
If you haven’t received a confirmation email, don’t hesitate to contact your Faculty coordinator. Also, check the foreign university’s website for application instructions, document forms, and detailed information.

Mobility-Online Tasks:

After applying or responding to the foreign university’s invitation, mark in your MRU Mobility-Online account:
“Application documents sent to partner institution.”

Upload a PDF copy of the registration invitation or application form submitted to the foreign university (if applicable) under the “Documents” section of your Mobility-Online account.

Learning Agreement Preparation and Signing:

This is also done in your Mobility-Online account, under the “Before the Mobility” section:

  • If the Digital Learning Agreement is used, complete and sign it digitally.
  • If not, use the regular Learning Agreement for studies (PDF). Upload it under the “Learning Agreement” workflow after it has been signed by:
    • You (the student),
    • The receiving institution,
    • Your Faculty’s Erasmus+ academic coordinator.

At least 15 calendar days before the start of the short-term mobility abroad, you must submit the following documents in your Mobility-Online account under the step:
“Before the Mobility: Acceptance letter and Grants”:

  1. Acceptance confirmation (official letter or email)
  2. Signed Learning Agreement for studies
  3. Request Form for permission to go abroad and apply for the Erasmus+ grant and (if applicable) the Green Travel top-up:
    • Fill out the form, sign it, and email it to your Faculty Erasmus+ coordinator.
    • Once signed by the Vice-Dean, upload it to the “Application workflow” in Mobility-Online.
  4. Bank account details in your Mobility-Online profile.
  5. Insurance documents:
    • Either: A private travel/medical insurance policy valid in the host country (e.g. ERGO, Gjensidige, Lietuvos draudimas, etc.),
    • Or: A copy of your European Health Insurance Card (EHIC) for EU countries.

After Document Submission

Within 10 working days of submitting all documents, the International Office will:

  • Finalize your mobility,
  • Prepare your Grant Agreement,
  • Send it to you for digital signing via Mobility-Online,
  • Handle internal MRU coordination.

Your Erasmus+ grant will be paid according to the terms outlined in the signed Grant Agreement.
Any changes to the Grant Agreement must be agreed upon and formalized in writing in advance.

Important!

You are responsible for:

  • Booking your travel tickets,
  • Finding appropriate accommodation for the duration of your short-term mobility abroad.

Funding for Short-Term Physical Mobility

Short-Term Physical Mobility:

Only selected participants may receive mobility grants, provided there are available funds and the allocation complies with the financial rules of the relevant international programme or project.

  • The grant is awarded only for the specific period of physical mobility confirmed by the host institution.
  • It may also include additional individual support or other allowances, if justified with supporting documents provided by the participant.
  • Grants are allocated with the aim to enable the widest possible student participation in mobility activities.

Duration-Based Grant Conditions:

  • Short-term mobility: funding is provided for up to 14 days.
  • Doctoral students: mobility may last from 5 to 30 days.
  • Additional travel days may be funded if needed:

For non-green (standard) travel:

  • Up to 2 days: 1 day before and 1 day after the mobility activity, based on travel distance and actual travel time.

For green travel (eco-friendly transport such as bus, train, carpooling):

  • Up to 4 days: up to 2 days before and up to 2 days after the mobility activity, based on travel distance and actual travel time.

Additional Allowances:

Depending on the financial rules of the specific programme or project, additional support may be granted:

  • For travel costs,
  • For participants with fewer opportunities,
  • For inclusion-related support, and more.

Grant Administration:

  • The grant is officially awarded by Rector’s decree of the university.
  • If awarded, it is disbursed based on the Grant Agreement signed between the University and the Participant.
  • The grant or part of it must be returned if the participant fails to comply with the terms of the signed agreement.
  • Participants cannot carry out multiple mobility activities at the same time or receive multiple grants simultaneously.

Erasmus+ BIP or Blended Short-Term Mobility Rates:

For selected participants under the Erasmus+ Blended Short-Term Mobility or BIP, traveling to any country for physical mobility, the following rates apply:

  • €79 per day for the first 14 days of physical mobility.
  • €56 per day from day 15 to day 30, if applicable.
  • + 2 additional travel days are funded, regardless of mobility length.

Additional Support for Students with Fewer Opportunities:

Students with fewer opportunities participating in short-term physical mobility are entitled to extra support:

  • +€100 if the physical mobility lasts 5–14 days.
  • +€150 if the physical mobility lasts 15–30 days.

This support is added to the individual daily grant amount for the mobility period.

After Completing a Short-Term Physical Mobility

Academic Requirements and Confirmation:

Students who went abroad for short-term mobility for study purposes must:

  • Complete their academic obligations at the host institution,
  • Obtain:
    • A confirmation of the mobility period (Letter of Confirmation or Certificate of Attendance),
    • A Transcript of Records showing earned credits and grades.

Final Report and Required Documentation:

Upon returning, students must submit final documentation to the International Office via the Mobility-Online platform, within the deadline specified in the Grant Agreement.

Upload all documents under the “After Mobility” section:

  • Letter of Confirmation or Certificate of Attendance
    (confirms the purpose and duration of your studies)
  • Transcript of Records
    (issued by the host university, showing learning outcomes and credits)
  • EU Survey – the EU online questionnaire
    (you will receive an invitation by email on your last day of the activity)
  • Travel tickets or boarding passes
    (e.g. bus/train tickets or flight boarding passes for both trips: Vilnius – host university – Vilnius)
  • Personal Reflection
    (a free-form written review of your study experience and impressions)

Deadlines and Exceptions:

The end date of your mobility is defined in your individual Grant Agreement.
If you are unable to submit the documents on time, you must:

  • Submit a written explanation for the delay, and
  • Request an extension of the submission deadline.

The University has the right to:

  • Decide whether to approve or reject your extension request, and
  • Inform you of the decision.

 If you fail to submit the required documents on time and do not request a deadline extension, you may be required to return the grant.

Academic Recognition at MRU:

  • Successfully completed partial studies abroad under the approved Learning Agreement will be fully recognized at MRU without restrictions.
  • If you partially complete or fail to complete the approved study programme stated in your Learning Agreement, the University’s Study Regulations will apply to determine next steps.
